BabySentry is a straightforward, integrated, easy to use computerized medical record system that helps to coordinate all aspects of an infertility practice. The system is particularly helpful for the embryology lab and has multiple features for controlling frozen embryo and sperm inventory as well as recording cycle data. BabySentry can be used to collect clinical data, and contains integrated features for medication and prescription control, MD orders, scheduling, and billing. Expect start up to be slow and to spend a fair amount of time entering information and creating lists and templates that are specific to your program. We are a unit of about 60+ staff and we do 2,500 cycles a year.

BabySentry (BBS), although by no means a complete and perfect application, is quite comprehensive and extremely user friendly and has been the system of our operation for the past 4 years. In fact, since Aug. 5, 2010 we had to increase our activities by a ratio of 2.5 and I don't believe we would have been able to sustain the increase as smoothly as we did without BBS.

The installation in our unit was done very efficiently in one day. We propagate the application using a Citrix server which allows remote access so that physicians are able to review even when away from the clinic. Updates are done on the server and do not need to be individually installed on the 60+ workstations. Initial training time was estimated based on the numbers of users. We continue to have online training using web meetings whenever a new module is upgraded. This has been extremely convenient and less costly than on-site training.

We implemented the modules gradually, starting with Scheduler for clerical, IUI monitoring & Pelvic U/S for the U/S technicians (although this module is used mainly for vaginal U/S) and Progress Notes for all.
In phase 2 we implemented the use of ART monitoring pages for physicians and the Embryology & Cryo pages for the embryologist. Usage of Treatment Plans and Orders was implemented as a 3rd phase for all medical staff. Finally as a last phase, we implemented Calendars for Nursing.

We are using several interfaces. So far, I believe BBS has an interface for all major equipment.
  • with HIS (Hospital Information System) for updates of demographic info.
  • with CASA for semen analyses.
  • with endocrine analyzer (IMMULITE).
  • DICOM with U/S machines.
  • with the Hospital Central Lab for various test results (this interface has been on hold due to some delays from our lab).

Technical Support has been promptly and efficient regardless of the time difference. Response time (to emails) is on average 15-30 min. Our IT department provided remote access so that the BBS team can trouble shoot whenever needed.

Ease of use is really quite subjective. Some people will always have difficulty using the application the same way they would always have difficulty using MSOffice. Others grasp it fast and navigate through the pages with ease. It is extremely important to identify "super users" for each group who would provide timely support during the clinics.

ART treatment is constantly evolving and there will always be a need to improve the application in order to catch up. I have to say that the BBS team has been able to provide such updates in a timely fashion. The module we believe still needs the most improvement is statistics. There is room for more built-in queries.

We looked for an EMR system for our practice for 2 years. Over that time we trialed at least 10 programs and none seemed to fit our practice. In talking with large programs in California, Canada and Australia they were using BabySentry and were happy about the program and especially the support after it was installed. From the embryology point of view, our laboratory director from New York also liked the program. So after years of searching, we were able to find a program that was acceptable by the doctors, clinical staff, laboratory staff and front office. So we went with BabySentry.

We have been impressed with the ease of use. They are always willing to add on to the program to fit your practice's needs. The most important part of any EMR is support. Any emergency that occurs, we get a response in less than 20 minutes. If you have a specific question about how to input a specific information we get a response in less than 2 hours.

We have been using BabySentry for 3 years now and we are still learning more and more things this program can do to help our practice flow better.

We have decreased employee's time in finding charts or lab work. Ultrasound and surgical pictures are put into the program and not getting lost. We have our blood work from the outside labs downloaded into a file that we import into the program. The staff does not need to leave their seat and therefore they are more productive. I have saved a lot of money on wasted staff time than is actually paid for BabySentry.
